Vehicles & vehicle checks

Keep your fleet road-legal without a spreadsheet. TravelSpurt tracks servicing, MOT and insurance for every vehicle. Drivers complete their daily walkaround check on their phone, with no login.

Add your vehicles

  1. Go to Vehicles → + Add vehicle.
  2. Enter the name your team uses (for example Winston), the registration and the make/model.
  3. Add the fuel rate in pence per mile. It's used to cost fuel on the booking's Profitability panel and P&L.
  4. Add the odometer reading, service interval (10,000 miles by default), last service mileage and date, and the MOT and insurance due dates.
  5. Click Save vehicle.

Pick a vehicle name and stick with it. Check history and tour counts are linked by name, so renaming a vehicle separates it from its earlier records.

Keeping track of what's due

Each vehicle card shows:

  • Service: OK, Due soon (within 10% of the interval) or Overdue, plus an estimated service date based on your average weekly mileage;
  • MOT and Insurance: flagged when due within 30 days or overdue;
  • Latest check: the result of the most recent walkaround.

The same information feeds the dashboard's Fleet health widget and the calendar. Set a vehicle's status to In Maintenance or Retired to take it out of service.

To assign a vehicle to a trip, choose it on the booking's Edit page. It then appears on the calendar, the Trip Pack and the P&L.

Daily vehicle checks

Give drivers the check link

  1. On Vehicles, click Share check form.
  2. Click Copy and send the link to your drivers. They can save it to their phone's home screen.

One link works for all your drivers and vehicles. If it's shared with someone it shouldn't be, click Regenerate. The old link stops working immediately, so send the new one to your drivers.

What the driver does

  1. Opens the link, enters their name and picks the vehicle, then taps Begin check.
  2. Goes through each item one screen at a time, tapping ✓ Pass or ✗ Fail.
  3. For a fail, optionally describes the defect and takes a photo with their phone's camera.
  4. Taps Finish & submit and sees the verdict: Fit to drive or Defects found.

Review checks and fix defects

Vehicle Checks in the sidebar lists every check, newest first. Filter it by vehicle. Click a check to see each item, the defect notes and the photos.

When a defect has been fixed, click Mark resolved. Optionally add the mechanic or garage and what was done, then click Confirm resolved. The check shows Resolved, or Partial if only some defects are fixed.

Printable check report

Click Report on any check for a branded A4 report showing the vehicle, driver, time, verdict, every item, defect photos and resolutions. Click Print / Save as PDF to keep it for your compliance records.
