Travelers
A booking has one lead client. Travelers are the individual people on the trip. Each traveler has a profile that follows them across every booking, which builds your CRM over time.
The traveler directory
Open Travelers in the sidebar. At the top you'll see:
- Total travelers
- With upcoming trips
- Repeat travelers: people on more than one trip
- Over 65
Filter the directory with the chips (All, Upcoming, Repeat, Over 65, Has dietary needs) or search by name, email or phone. The Source column shows whether a traveler was added by hand, imported, or came from WeTravel.
A traveler's profile
Click a traveler to expand their record. It has two tabs:
- Profile: contact details, date of birth, dietary requirements, mobility notes, emergency contact and notes. Click Edit to change them. Trip history lists every booking they're on, with a portal link for each trip.
- Comms: a log of every email TravelSpurt has sent them, and whether it was delivered.
Copy all-trips link gives you a single portal link covering all of that traveler's trips. That's handy for repeat travelers.
Add a traveler
Click Add traveler, fill in their details and click Save traveler. Usually it's easier to add travelers from a booking, as below. They appear in the directory automatically.
Travelers on a booking
On a booking page, the Travelers section lists who's travelling. For private bookings it's tucked into an optional Individual traveler tracking block. It's most useful for per-seat group tours, where it's always shown.
- Click Add traveler.
- Search for someone already in your directory and click their name. Or click Create new traveler and enter their details, including dietary needs, mobility notes, emergency contact and whether they're over 65.
- Optionally mark them as the lead traveler and add a room share note, such as "Twin share with Anna".
- Click Save & add to booking.
Each traveler row has buttons to:
- copy their portal link;
- email them their portal link;
- make them the lead traveler;
- edit their details;
- remove them from the booking.
Sending portal links
Each traveler gets a private portal page where they tick off their checklist, fill in forms and tell you about dietary or mobility needs. They don't need to log in. Click the email icon next to a traveler, or use Email all travelers their link in the Form Responses card. See What your travelers see.
Traveler tasks
When you add a traveler to a booking, TravelSpurt creates their tasks from the tour type's checklist automatically. The Traveler Tasks card shows each traveler's progress.
- Traveler tasks appear on the traveler's portal for them to tick off.
- Staff tasks are for your team.
If you've changed the checklist in Tour Types since travelers were added, click Sync tasks to bring this booking up to date. See Tour types, tasks & forms.
Form responses and vendor pre-orders
The Form Responses card shows every traveler's answers to the tour type's forms, such as dinner choices or passport details, in a table. From here you can:
- Export CSV: download all the answers.
- Send to vendor: choose which fields to include, enter the vendor's name and email, preview, and send them a pre-order summary. For example, you could send a hotel its guests' dinner choices. Earlier sends are listed under Previously sent.
